1. About this policy
This policy explains how the ScoutEdge football platform ("ScoutEdge", "we", "us"), available at scoutnow.in, handles personal information. It covers the public website and the signed-in platform used by athletes, organisations and evaluators.
It describes the platform as it works today. We'll update it when that changes (see section 12).
2. Information we collect
Account information
- Your name, email address and account type (athlete, organisation or scout).
- An optional mobile number. It is a contact detail only and isn't used to sign in.
- Sign-in information: sign-in is provided by Google Firebase Authentication. We store your Firebase account identifier and whether your email is verified. We never receive or store your password. If you sign in with Google, Google shares your name and email with us.
Athlete profile
- Date of birth, city and country.
- Primary and secondary position, preferred foot, playing level, height, weight and a short bio.
- Profile photo. We re-encode uploaded photos and remove embedded metadata such as camera and location details.
- Playing history (club, position, level and dates), achievements, season statistics, and evidence links you add (a title, type, web address and description).
- Your ScoutEdge ID, which we generate for you.
Football CV import (optional)
If you upload a football CV as a PDF, we read it on our servers to suggest profile details for you to review. The PDF file itself is not kept. We keep the suggested details, the file name, size and page count, a fingerprint of the file, and a record of what you accepted. Nothing is added to your profile unless you confirm it.
Trial data
- Your registrations for trials, including dates and any withdrawal.
- Your trial-day pass (QR code and check-in code).
- Check-in records: time, method, bib number, group, and the staff member who checked you in.
Evaluation data
- Observations evaluators record about athletes at a trial. This covers what they saw and, separately, what they think it means.
- Attribute ratings (1–5, or N/O for not observed), with the evaluator's confidence and context.
- Decisions (shortlisted, further assessment, selected, not selected), with the reason, notes, who decided and when.
- An audit trail of trial-day actions such as check-ins, evaluator assignments and decisions.
Organisation information
For organisation accounts: the organisation's name, type, city, country, website, contact email and description; its trials; and the evaluators it adds.
Technical data
- Server logs record your IP address, the date and time, the page or API address requested, your browser's user-agent and the response status. We use them for security and troubleshooting, and keep them for about 14 days.
- Your sign-in session is kept in your browser's storage by Firebase so that you stay signed in.
- We don't use advertising or analytics trackers. Our fonts and the Firebase sign-in library load from Google's servers, which receive your IP address when your browser requests them.
3. How we use information
- To run the platform: profiles, trial discovery, registration, check-in, ScoutEdge Live, evaluations and decisions.
- To check eligibility: for example, working out your age on a trial's date from your date of birth, and matching your positions to a trial's requirements.
- To keep ScoutEdge secure: verifying sign-in, enforcing permissions, preventing abuse and keeping audit records.
- To support you when you contact us, and to keep the service reliable.
We don't sell personal information and we don't use it for advertising.
4. Who can see your information

Organisations are isolated from each other: an organisation can't see another organisation's trials, registrations or evaluations.
5. Public profiles
Your shareable profile at /player/<your ScoutEdge ID> is off by default. When you publish it, anyone with the link can see your name, ScoutEdge ID, photo, positions, age group, city and country, preferred foot, playing level, height, weight, bio, playing history, achievements, statistics, and the evidence items you mark public.
It never shows your email, mobile number or date of birth. You can switch it off at any time. We can't recall copies that others may have made while it was public.
6. Service providers and where data is stored
- Google Firebase Authentication provides sign-in.
- Amazon Web Services hosts the platform and its database, in the United States (us-east-1 region).
- Google Fonts serves the website's fonts.
If you use ScoutEdge from outside the United States, your information is transferred to and stored there. These providers process information on our behalf to run the service.
7. Security
We aim to protect your information with appropriate technical and organisational measures:
- Encrypted connections (HTTPS/TLS) between your browser, our servers and the database.
- Permission checks on the server for every request, and isolation between organisations.
- Database access limited to what the application needs.
- An audit trail of trial-day actions.
No online service can be completely secure. Please report security concerns to tech@scoutedge.in.
8. How long we keep information
- Account and profile: kept while your account exists.
- Trial records: registrations, check-ins, observations, ratings and decisions are kept as part of the organisation's history of that trial. Evaluation and decision records are locked once a trial is marked completed.
- CV import records: kept with your account.
- Server logs: about 14 days.
- Backups: the database's automated backups and daily media backups (we keep the latest 14) may hold information for a limited period after it is changed or deleted.
9. Your choices and requests
- View and update your profile at any time from My profile.
- Add, change or remove your mobile number from Account.
- Publish or unpublish your shareable profile, and choose which evidence items are public.
- Withdraw from a trial while registration is open and before you've been checked in.
To ask for a copy of your information, a correction you can't make yourself, or deletion of your account, email support@scoutedge.in from the address on your account. We'll confirm the request comes from the account holder before acting on it.
Deleting your account removes your profile. Records that form part of an organisation's trial history, such as evaluations and decisions, may need to be kept for that trial's integrity. When we respond, we'll tell you what we keep and why.
10. Young athletes
Many athletes on ScoutEdge are under 18. If you are under 18, please use ScoutEdge with the knowledge and permission of a parent or guardian. A parent or guardian can contact us about a young athlete's account using the details below.
11. Organisations' own use
Organisations that run trials on ScoutEdge decide how they use the evaluations and decisions they record, including any follow-up with athletes. Questions about an organisation's own selection process should go to that organisation.
12. Changes to this policy
We'll update this policy when the platform or our practices change, and change the "last updated" date above. If a change significantly affects how your information is used, we'll make it clear on the website.
